This policy explains, in plain English, what personal information AI Outfitters collects, why we collect it, and what we do with it. We have written it to match how the site actually works, not to cover ourselves with boilerplate. If anything here is unclear, email us at hello@aioutfitters.nz and we will walk you through it.

AI Outfitters is a bespoke-software studio based in Wānaka, Otago, New Zealand, working with clients NZ-wide. We build custom software for small businesses, and this site is how we explain that work and let you get in touch.
For anything to do with this policy or your personal information, including access and correction requests, the quickest way to reach us is by email.
We only collect information you choose to give us through the two forms on this site. We do not buy data, and we do not ask for more than we need.
When you request a free demo through our contact form, we collect:
The Build-Ready Score is a short, interactive self-assessment. You answer the questions and the result is calculated in your browser. We only receive personal information at the point you choose to unlock the full breakdown by entering your email.
If you do that, we collect:
The Build-Ready Score is an indicative self-assessment to help you and us understand where your business might be ready for software. It is a starting point for a conversation, not professional, financial, legal, or technical advice, and it does not commit either of us to anything.
Any figures or estimates it produces are illustrative and depend entirely on the answers you give. Treat them as a rough guide, not a quote.
We use the information you give us for one straightforward purpose: to respond to you and talk about whether we can help. Specifically:
We handle personal information in line with the New Zealand Privacy Act 2020 and its 13 Information Privacy Principles. In honest terms, that means this:
We collect information directly from you, for a clear and lawful purpose connected to running this business. We tell you why we are collecting it (this policy, and the forms themselves), we only use it for that purpose, we keep it secure, and we let you see and correct it. We will not repurpose your information for something unrelated without asking you first.
This is a marketing site with no database. When you submit either form, your details are formatted into an email and sent to our inbox. They are not saved into any database or customer system by this website.
After that point, your information lives wherever we keep our email and any notes we make while following up with you, handled with the same care described in this policy. Email sending is provided by Resend, and there are times (for example while we set up our domain email) when sending is switched off. In that case the form confirms success to you but no lead email is sent.
We keep our tools deliberately simple. We use a small number of reputable providers to run the site and handle your enquiry. Each only processes what it needs to do its job.
Our forms do not need cookies to work. We use analytics cookies only if Google Analytics 4 has been enabled on the site, and it is off by default.
If analytics is enabled, Google Analytics 4 may set cookies or similar identifiers to measure how visitors use the site in aggregate, such as which pages are viewed. We would use this to improve the site, not to identify you personally. If analytics is not enabled, no such tracking cookies are set by us.
Because there is no database, your form submissions are not retained by the website itself. The information reaches us as email, and we keep that only as long as we reasonably need it to respond to you and maintain a record of our conversation, after which we delete it. You can ask us to delete your information sooner.
On the technical side, we have practical protections in place at the point of collection:
Under the Privacy Act 2020 you have the right to ask us what personal information we hold about you, to get a copy of it, and to ask us to correct it if it is wrong.
To make a request, email us at hello@aioutfitters.nz. We may need to confirm who you are before we respond, and we will reply as soon as we reasonably can and within the timeframes the Privacy Act sets.
If you think we have mishandled your personal information, please tell us first so we can try to put it right. If you are not satisfied with how we respond, you can complain to the Office of the Privacy Commissioner.
You can find out more and lodge a complaint at privacy.org.nz.
This site and our services are aimed at businesses, not children. We do not knowingly collect personal information from children. If you believe a child has sent us information, email us at hello@aioutfitters.nz and we will delete it.
We may update this policy as the site or our tools change, for example if we turn analytics on or add a new service provider. When we do, we will update the page here.
If you have any questions about this policy or how we handle your information, email us at hello@aioutfitters.nz.
